
POSITION OF LEASING PROFESSIONAL
REPORTS TO: Community Manager
The purpose of this job description is to communicate the responsibilities and duties associated with the position of LEASING PROFESSIONAL. SKILLS, KNOWLEDGE AND PERSONAL CHARACTERISTICS:
The following attributes are desirable for job success: experience in leasing multi-family properties, sales, customer service industry, certification in the multi-family (NALP), ability to communicate effectively, safety conscious, ability to assert yourself, preference for detail work, ability to work well under pressure, self-motivation and self-direction, ability to work with/without direct supervision.
JOB SUMMARY:
The LEASING PROFESSIONAL is the community's sales representative whose primary duties are to greet prospects, to present professionally the features and benefits of their assigned community, and properly secure lease agreements from qualified persons. A LEASING PROFESSIONAL is very service oriented and strives to make current residents feel welcome and comfortable in their community. The LEASING PROFESSIONAL will contact a person of authority should any situation warrant an action or decision not included in his or her duties and responsibilities.

Non-Exempt (eligible for overtime)
MAJOR DUTIES AND RESPONSIBILITIES:
Conduct all business in accordance with company policies and procedures, Fair Housing, Americans with Disabilities Act, Fair Credit Reporting Act, and all other laws pertaining to apartments.
Duties include, but are not limited to:
1) Marketing/Leasing:
a. Maintain a professional, yet friendly, atmosphere in the leasing office and other areas where prospective residents and residents meet.
b. Respond effectively to telephone inquiries to generate prospective resident visits to the property. Answer incoming phone calls and handle each call accordingly.
c. Post rent prices to ad agencies, social media posting, and market to local businesses. Monitor social media on a daily basis.
d. Show and demonstrate apartments, utilizing sales skills to demonstrate market ready product and availability to close prospects.
e. Monitor telephone, internet, email, and walk-in traffic at property via system software.
f. Walk model tour route and open model daily to ensure quality presentation. Inspect ‘market ready’ vacancies daily to ensure cleanliness.
g. Conduct periodic market surveys, as requested. Conduct local marketing as needed or requested.
h. Maintains awareness of local market conditions and trends. Contribute ideas to the manager for marketing property and for improving resident satisfaction.
2) Administrative:
a. Correctly completes all lease applications, assists with application verification and notifies prospective residents of results. Type and deliver miscellaneous resident communication as needed. Complete all lease paperwork including related addenda.
b. Accept rents and deposits.
c. Input all traffic (phone, internet, email, walk-in etc.) into system software program. Follow up with prospective residents on a daily basis. Send thank you notes, emails etc.
d. Perform move-in inspections with new residents. Review welcome packet with new resident in a timely manner.
e. Maintain legal records/files, organize and file appropriate reports, leases and paperwork. Comply and help monitor/oversee all community rules and regulations.
f. Input daily activity and made-ready units in system software.
g. Inventory of office supplies on periodic basis. Report needs to manager.
h. Encourage resident retention by contacting all residents on renewal report that are not currently on lease.
i. Help/maintain renewal management (i.e. renewal reports, renewal notices, lease expirations etc.)
j. Help and/or prepare weekly and monthly reports as required.
3) Compliance with management company personnel and operations policy and procedures and compliance to company standards.
a. Working knowledge and understanding of system software
b. No signing of contracts permitted, no approval or signing of leases.
c. Stay abreast of current policies and guidelines; maintain policy manual as changes are effected.
d. Cannot approve applications and/or give concessions, no expenditures without Community Manager’s approval.
e. Physically inspect property when on grounds, pick up litter and report any service needs to maintenance staff.
4) Assist with resident relations:
a. Prepare, input, process resident service requests to maintenance, residents, and into system software
b. Assist with preparation of newsletters and promotion flyers.
c. Assist with the planning of community activities and events.
ORGANIZATIONAL RELATIONSHIPS:
Reports directly to the Community Manager. Will work with Community Manager, Assistant Manager and Maintenance staff. Will also work with staff members from other communities, outside vendors and service providers.
OTHER REQUIREMENTS:
Hours of Work: Basic schedule includes, but is not limited to, coverage of office from 8:00am to 5:30pm, Monday through Friday, and minimum 11:00am to 4:00pm Saturday. Two days off, as scheduled with Community Manager and Assistant Manager. Schedule may vary according to individual property and Community Manager. 20-40 hours per week, depending on whether a full or part-time employee. Employee will be required to work a flexible work week.
Experience: Two years of sales or customer service experience required. One year of industry experience preferred.
Education: High School diploma required. Multi-family certification (NALP) or real estate license preferred. Two years of college preferred. Training in industry preferred. Six (6) hours (CEC’s) of industry specific training must be completed annually, please submit to HR upon completion.
Computer / Office Skills: Working knowledge of Microsoft Office – Word, Excel; Internet & Social Media (Facebook, Craigslist etc), Calculator, Copy Machine, Fax Machine, Telephone, Alarm System etc. Working knowledge and understanding current system software.
Physical Requirements: Extensive mobility and good physical condition must be able to perform the physical functions of the position. Including but not limited to: ability to walk entire property, ability to climb 4 flights of stairs, to complete physical inspections of units, deliver resident communications, and show apartments. Be able to effectively communicate with residents, staff, supervisors, vendors, etc. Must be able to lift a minimum of 60 lbs. to facilitate vacuuming, moving office furniture, and/or lift supplies.
Residency: Must meet the qualifications for residency in the community for which they have applied.
Pre-Employment Test Scores: Pass drug and criminal background test.
Must have a reliable vehicle to perform various management tasks and errands, including daily bank deposits. Must have proof of liability insurance for same.
Valid Driver’s License.
